Support Associate: Accounting | Sales | Operations

Reports to: General Manager

Logix is looking for a bright, detailed-oriented individual to support its fast-paced sales, engineering, and manufacturing operations. The successful candidate will be able to grasp and master a complex inventory management database, maintain sales records, and generate accounts receivable projections. In addition, the candidate will work with the engineering team to monitor project status, and will participate in project and capacity planning. Candidate will also have ongoing and day-to-day contact with Logix's diverse customer base providing project status and invoicing milestones throughout a project's duration.


POSITION SUMMARY

Support Associate: Accounting | Sales | Operations

Supports operations manager in day-to-day office/production operations pertaining to: accounts receivable and sales order tracking/management, production capacity planning and forecasting. Position is part-time (20-25 hours/week), but could lead to full-time.

Essential Duties and Responsibilities

    Order Setup / Production Coordination

  • Create sales orders and establish project production schedules based on information provided on customer purchase orders, sales proposals, email communications between customer, sales, and engineering staff, and other information sources.
  • Compare customer purchase orders with accepted sales proposal deliverables, terms/conditions documents, and pricing.
  • Identify problems that may affect the prodcution schedule or order value, and communicate such problems to colleagues and customers accordingly.
  • Clarify/resolve purchase order/sales proposal discrepancies.
  • Enable ongoing communications with customers to provide order progress and shipment status, verify delivery, resolve invoicing issues.
  • Monitor sales order queue for potential invoicing events (hardware shipment, software downloads, support services, and so forth) for timely invoicing.
  • Participate in monthly/quarterly closing processes maintaining sales reports and projecting accounts receivables, issuing customer monthly account statements, and following up on account delinquencies.

  • Capacity Planning

  • Working with engineering staff, maintain daily project status; provide insight into workload projections and deadlines by project and by resource.
  • Utilize MS Project to coordinate production/commissioning schedules; integrate with MS Outlook Production and Commissioning calendars.
  • Provide support to engineering by monitoring project progress and adjusting task durations, sequence, and completion over the course of the project.
  • Participate in weekly engineering/production meetings.
  • Other duties as assigned.

Qualifications

Successful candidate will be able to work independently as well as collaboratively with customers and team members.

Education and Experience:A Bachelor's Degree (B.A.) from a four-year college or university is preferred. Alternatively, an Associates degree (A.A.), accounting/professional certification, or one-two year's related experience. Or an equivalent combination of education and experience.

Administrative/accounting/organizational abilities:

  • Accounting and math skills: Solid knowledge of day-to-day business accounting practices. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Language Skills: English fluency: ability to read and comprehend documents such as purchase orders, written proposals, terms and conditions documents. Ability to write business correspondence, and to speak effectively with customers and colleagues.
  • Other desirable skills: time management, task prioritization, managing multiple priorities, strong writing and communication skills, quick learner. Detail oriented, yet able to see the "big picture." Motivated by doing a job thoroughly, accurately, and well.
  • Technical Skills and Experience Required: Proficiency with and knowledge of MS Office Suite. Familiarity with MS Project and MS SharePoint is a plus. Logix utilizes Microsoft Navision ERP Management System.
  • Other proficiencies desired: Certify travel and expense management application.
  • Reasoning Ability: Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Physical Demands and Work Environment

The work is performed at the company's office in Kirkland, Washington, and virtual office is not available. Work is primarily performed using a desktop computer while at a sitting and/or standing desk.
